Terms of Service

These Terms of Service govern your use of FlowBooks. Please read them carefully. Where a business-specific detail is required but not yet configured, a clearly marked placeholder is used so it can be completed before launch.

Acceptance of the Terms

By accessing or using FlowBooks, you agree to be bound by these Terms of Service and any additional terms that apply to specific features. If you do not agree, you may not access or use the service.

Eligibility

You must be of legal age to form a binding contract in your jurisdiction to use FlowBooks. If you use FlowBooks on behalf of a business, you represent that you have authority to bind that business.

Account Registration and Security

To use FlowBooks, you register an account with a valid email address and choose secure credentials. You are responsible for maintaining the confidentiality of your account and for all activity that occurs under your account. Notify us promptly of any unauthorized use or security breach.

Workspace Ownership and Authorized Users

A workspace is the business profile you create in FlowBooks. The user who creates a workspace is responsible for that workspace. You may invite other authorized users to your workspace and are responsible for their access level and activity within the workspace. Each authorized user must comply with these Terms.

User Responsibilities and Acceptable Use

You agree to use FlowBooks only for lawful purposes. You will not, and will not allow others to:

  • Upload content that is unlawful, infringes others’ rights, or contains malware or harmful code.
  • Attempt to disrupt, overload, or gain unauthorized access to the service or another user’s data.
  • Use the service to store non-financial data unrelated to its intended purpose.
  • Reverse engineer, decompile, or attempt to extract the source of the service except as permitted by law.
  • Use FlowBooks in a manner that could harm the service or its providers.

Uploaded Documents and User Content

You retain ownership of the documents and data you upload to FlowBooks. You grant FlowBooks and its service providers a limited license to access, process, and store your content solely as needed to provide and secure the service. You are responsible for ensuring you have the right to upload your documents and that doing so does not violate any law or third-party right.

Accuracy of Information

You are responsible for the accuracy of the information you provide and for reviewing information produced or suggested by the service before relying on it. FlowBooks does not independently verify the accuracy of your uploaded documents or the information extracted from them.

Description of the FlowBooks Service

FlowBooks is cloud-based bookkeeping and financial document management software that helps users organize, categorize, and track financial data. Features may include document upload and processing, transaction management, categorization assistance, reporting, accounting periods, exports, and collaboration tools. The availability of specific features may depend on your subscription plan.

AI-Assisted Functionality

FlowBooks uses AI-assisted features such as document extraction, categorization suggestions, and an assistant (“Flo”). AI-assisted output may be inaccurate or incomplete and should be reviewed by you before relying on it. AI features do not provide professional tax, legal, or financial advice. Third-Party Services

FlowBooks may integrate with or rely on third-party services, such as cloud hosting, payment processing, document processing, and AI providers. We are not responsible for the actions of third-party services, and their terms and privacy practices apply to your use of them.

Subscriptions and Billing

FlowBooks offers subscription plans with recurring billing. Plan details, pricing, and billing cycles are presented in the application and on our pricing page. Paid subscriptions are billed through our payment processor. By subscribing, you authorize us to charge the applicable fees according to your selected plan and billing cycle. Free Trials

Where offered, free trials provide access to certain features for a limited time. Trial terms, including duration and the features included, are presented when you start a trial. Automatic Renewal

Unless you cancel, paid subscriptions renew automatically at the end of each billing cycle for the same period, and your payment method is charged until you cancel. You can cancel at any time to stop future renewals. [Renewal and billing-cycle specifics are as presented in the application.]

Cancellation

You can cancel your subscription from the billing area in your workspace or through the options provided by our payment processor. Cancellation stops future renewals and typically remains active until the end of the current paid period. See our Refund & Cancellation Policy for details.

Refunds

Suspension and Termination

We may suspend or terminate access if you violate these Terms, if your account poses a security risk, or as needed to protect the service. You may stop using FlowBooks at any time and can request account deletion. Upon termination, some features and access may end immediately.

Intellectual Property

FlowBooks, including its software, design, text, graphics, logos, and branding, is owned by or licensed to FlowBooks and protected by applicable intellectual property laws. See our Copyright Notice for details.

User License to Use the Service

Subject to these Terms, FlowBooks grants you a limited, non-exclusive, non-transferable license to access and use the service for your internal business or personal bookkeeping purposes, in compliance with these Terms.

User Responsibility for Uploaded Content

You are solely responsible for your uploaded documents and data and for the consequences of relying on information produced by the service. FlowBooks is not responsible for the content of your documents or for decisions you make based on the service.

Data and Account Termination

When your account or subscription ends, you may have a limited opportunity to export your data. After that period, we may deactivate your workspace and delete associated data in accordance with our Privacy Policy, except where retention is required by law.

Service Availability and Maintenance

We strive to keep FlowBooks available but do not guarantee uninterrupted access. The service may be unavailable due to maintenance, updates, outages, or events beyond our control. We may change, add, or remove features at any time.

Disclaimers

FlowBooks is provided “as is” and “as available.” To the fullest extent permitted by law, we disclaim all warranties, whether express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be error-free, secure, or available at all times, or that AI-assisted output will be accurate.

Limitation of Liability

To the fullest extent permitted by law, FlowBooks and its providers will not be liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, data, or business opportunities, arising out of or related to the service. Our total liability for claims related to the service is limited to the amount you paid us for the service in the preceding twelve months, or as otherwise limited by applicable law.

Indemnification

To the fullest extent permitted by law, you agree to indemnify and hold FlowBooks and its providers harmless from claims, damages, and expenses arising from your use of the service, your violation of these Terms, or your uploaded content, except where prohibited by law.

Governing Law
