Refund and Cancellation Policy
Last updated: August 2026
Overview
This Refund and Cancellation Policy explains how subscriptions, free trials, and cancellations work for FlowBooks. By subscribing to a paid plan, you agree to the terms described here, together with our Terms of Service.
Free Trial
Most paid plans include a 14-day free trial. During the trial you have access to the plan features and can upload financial documents, process transactions, and generate reports. No payment method is required to start a trial. You can cancel at any time during the trial and you will not be charged. If you do not cancel before the trial ends, your selected plan begins and your payment method is billed for the first period.
Subscription Billing
Paid subscriptions are billed in advance on a monthly or annual cycle through our payment processor (Stripe). The billing date is based on the date your trial converts or your subscription starts. Annual plans are billed once per year and represent a single-period commitment.
Cancellation
You can cancel your subscription at any time from the Billing page in your workspace or through the Stripe customer portal. Cancellation stops future renewals. If you cancel during a billing period, your subscription remains active until the end of the current paid period, and you retain access to your workspace and data until then. Cancellation does not automatically delete your account or your uploaded documents.
Refunds
Because FlowBooks is a subscription service with immediate access to document processing and AI extraction, all subscription fees are non-refundable once a billing period has started, except where required by applicable law. We do not provide refunds or credits for partial billing periods, unused time, or unused document-processing volume. If you believe you were charged in error — for example, a duplicate charge or a charge after a timely cancellation — contact us through the contact page within 30 days and we will review and, where appropriate, issue a refund.
Refund Review
Refund requests are reviewed individually. Approved refunds are returned to the original payment method and typically appear within 5–10 business days, depending on your bank. We may request additional information to verify a request before processing it.
Data After Cancellation
When your subscription ends, your workspace remains accessible for at least 30 days so you can export your documents, transactions, and reports. After that grace period, we may deactivate the workspace. You can request permanent deletion of your data at any time, and we will process the request in accordance with our Privacy Policy. Some records may be retained as required by law or for legitimate business purposes such as fraud prevention.
Plan Changes and Downgrades
Upgrades take effect immediately and are prorated for the remainder of the current billing period. Downgrades take effect at the start of the next billing period. We do not issue refunds for the difference when downgrading mid-period; the lower rate applies to the next cycle.
Failed or Declined Payments
If a payment fails, we will retry it and notify you. During the retry period your workspace remains accessible. If payment cannot be collected after the retry window, your subscription may be suspended or cancelled, and access to your workspace may be restricted until billing is resolved. No charge is made for a period that never successfully billed.
Changes to This Policy
We may update this Refund and Cancellation Policy from time to time. We will notify you of significant changes via email or within the app. Continued use of FlowBooks after changes constitutes acceptance of the updated policy.
